1. Whether to allow production progress.
When foreign customers buy clothing in China, the span from receiving the order to delivery is generally about half a year to a year, which usually takes a long time. When a customer proposes to change an order, the order follower must consider what stage the order is in to gauge whether the customer's needs can be met.
(1) Initial stage of the order: In the early stage of the order, since there is no production arrangement, no matter the style process, the change of surface auxiliary materials has little effect on the production. We should try our best to meet the customer's requirements and cooperate with the order change, but we must follow up related matters, such as Coordinate the change of contract terms, the style change requires trial production, testing and audit samples; the change of the new standard sample card, the change of the purchase contract terms.
The increase or decrease in the order quantity proposed by the customer, the change in the size and color distribution ratio, and the change in the delivery date will have a great impact on the production plan. The capacity of current orders must be considered, as well as the flexibility of production schedules that can be adjusted and changed. Changes in quantity and size should be based on the signing of the contract supplementary agreement as the basis for follow-up work.
(2) Mid-term order: In the mid-term of the order, the customer must weigh the interests and opinions of all parties when proposing changes, and whether the operability and difficulty can be achieved. Especially after the order is completed with the approval of the surface auxiliary materials and the confirmation of the approval board, the production stage has begun to allow changes in the order style, craftsmanship and surface auxiliary materials.
For unrealizable changes, the original contract terms must be adhered to. For terms that may be changed, we must negotiate with customers, processing plants, suppliers, etc. according to the specific progress of the order, and follow up on solutions. For example, if the order quantity is small, there will be too much surface aid. At this point, we need to negotiate with the customer about the disposal of the remaining surface auxiliary materials.
(3) Late stage of order: In the late stage of order production, the product is basically completed, and the style and material cannot be changed. Customers are allowed to make changes to the discount method, delivery time, transportation method and delivery location.
If the customer proposes to postpone the delivery, the storage cost and transportation deposit of the finished product shall be negotiated with the customer, and the specific delivery date shall be negotiated. At the same time, unit members should coordinate the processing plant for product storage and storage. If the product has already left the factory, it can be arranged for temporary storage in the warehouse of the logistics agency or the port.
If the customer requires early delivery, it is necessary to coordinate the processing plant with the order staff to determine whether to work overtime to complete all or part of the order production, and the overtime fee for early delivery shall be paid by the customer. At the same time, we need to discuss the logistics method, delivery location and new delivery date with the customer.
In order to facilitate production arrangement, it is generally required that the style information in the contract shall not be modified within one week before the production of bulk commodities.
2. Whether the production cost is allowed.
When the customer proposes a change, it is necessary to analyze whether the customer's change request affects the processing cost, such as changes in auxiliary materials, style complexity, etc., which will affect the material cost and processing cost. The relevant expenses must be calculated with the processing plant, and then the contract unit price must be changed through negotiation with the customer. Or paid by the customer, accept the change.
3. Whether the production process is allowed.
When customers propose changes to production process, style details, the entire method after washing, etc., they need to know whether the factory can accept the change request. In the early stage of the order, if the factory repeatedly tests the board and still cannot meet the customer's change requirements, you can choose another processing factory. If it has entered the middle and late stages of the order, the factory can provide composite board testing, and then reply to the customer if it can be changed.
